If your office looks clean some days and neglected on others, the problem may not be your building. It may be your commercial cleaning company.
Many businesses stay with the same provider longer than they should because switching feels like a hassle. But inconsistent cleaning can affect employees, visitors, tenants, customers, and the overall impression of your business.
Here are 10 signs it may be time to find a better commercial cleaning company.
1. Cleaning Quality Has Become Inconsistent
One of the clearest warning signs is inconsistency.
Your building may look great after one visit, then feel overlooked the next. Trash may be emptied one night but missed another. Restrooms may be stocked in the morning but neglected by midday.
Reliable commercial cleaning services should not feel unpredictable. If your team is constantly guessing what will or will not get done, the cleaning program needs to be reviewed.
2. Complaints Keep Coming Back
Occasional issues happen. Repeated complaints are different.
If employees, tenants, patients, customers, or visitors continue pointing out the same cleaning problems, your current provider may not be addressing the root issue.
Common recurring complaints include:
- Messy restrooms
- Overflowing trash cans
- Dirty break rooms
- Dusty desks or surfaces
- Streaky glass doors
- Unpleasant odors
- Floors that still look dirty after cleaning
If the same concerns keep showing up, better communication alone may not fix the problem.
3. Communication Is Slow or Unclear
A strong commercial cleaning company should be easy to reach when something needs attention.
If your provider takes too long to respond, avoids direct answers, or does not follow up after a concern is raised, that creates more work for your team.
Facility managers and business owners should not have to chase down cleaning updates. Clear communication is part of the service.
4. Tasks Are Being Missed
Missed tasks are one of the most frustrating signs of a weak cleaning program.
These may include:
- Trash not being emptied
- Restrooms not being restocked
- Floors not being vacuumed or mopped
- Conference rooms not being reset
- Break room counters not being wiped
- Entry glass not being cleaned
- High-touch surfaces being overlooked
If missed tasks are becoming routine, the issue may be poor training, weak supervision, unclear scope of work, or lack of accountability.
5. Restrooms Are Not Staying Clean
Restrooms are one of the fastest ways people judge a facility.
If restrooms are consistently dirty, understocked, or unpleasant, that reflects poorly on the business. It can also create unnecessary complaints for property managers, office administrators, and facility teams.
For high-traffic buildings, restrooms may need more than after-hours service. Some facilities benefit from day porter services to keep restrooms stocked and presentable throughout the workday.
6. Your Cleaning Scope Keeps Shrinking
Sometimes the issue is not that the cleaning company stopped showing up. It is that the service quietly becomes less complete over time.
You may notice fewer tasks being completed, less attention to detail, or certain areas being skipped unless someone complains.
This can happen when the original scope of work is unclear, the provider is understaffed, or the account is not being properly managed.
If you are paying for a certain level of service, the work should match the agreement.
7. There Is No Quality Control
Good commercial cleaning companies do not rely only on the cleaning crew to catch every issue.
There should be some form of quality control, such as:
- Routine inspections
- Supervisor check-ins
- Clear task lists
- Documented service expectations
- Follow-up after concerns
- Accountability when something is missed
If no one is checking the work, problems are more likely to repeat.
8. The Company Cannot Adjust as Your Needs Change
Your facility may not have the same needs year-round.
Office traffic may increase. A tenant may move in. A healthcare practice may expand. A school may need deeper seasonal cleaning. A property manager may need added support after complaints.
A strong provider should be able to adjust the cleaning plan as your building changes.
If your current company treats every request like a problem, it may not be the right long-term fit.
9. Health and Safety Concerns Are Being Overlooked
Commercial cleaning is not just about appearance.
Cleaning also supports healthier, safer spaces by addressing high-touch surfaces, spills, restrooms, break rooms, and common areas.
If spills sit too long, restrooms are neglected, or high-touch areas are rarely cleaned, the issue can become bigger than appearance.
This is especially important for medical offices, schools, industrial facilities, and buildings with heavy public traffic.
10. You No Longer Trust the Work
This may be the biggest sign.
If you feel like you have to inspect the building every morning, remind the provider about basic tasks, or apologize for the condition of your facility, trust has already started to break down.
A commercial cleaning company should reduce stress, not add to it.
When confidence is gone, it may be time to compare other providers.
What to Look for in a Better Commercial Cleaning Company
If you are considering a new provider, do not only compare price. Compare the full scope of work and how the company manages the account.
Look for a commercial cleaning company that offers:
- Clear service expectations
- Reliable communication
- Documented cleaning tasks
- Flexible scheduling
- Trained cleaning teams
- Quality control
- Local support
- Services matched to your facility type
You may also want to review janitorial services, specialty cleaning services, and facility-specific cleaning options before making a decision.
Questions to Ask Before Hiring a Commercial Cleaning Company
Before choosing a new cleaning provider, ask questions that reveal how the company actually operates.
- What services are included in the scope of work?
- How often will the building be cleaned?
- Who supervises the cleaning team?
- How are missed tasks handled?
- Can the cleaning plan change as the building changes?
- Do you offer day porter services?
- How do you handle restrooms, break rooms, and high-touch areas?
- What happens if we have a complaint?
- Do you serve our type of facility?
- Can you provide a custom quote after a walkthrough?
These questions help you compare more than price. They help you understand whether the provider can actually support your facility.

Frequently Asked Questions
How do I know if I need a new commercial cleaning company?
You may need a new provider if cleaning quality is inconsistent, complaints keep coming back, communication is poor, or tasks are regularly missed.
What should a commercial cleaning company include?
Services vary by facility, but common tasks include trash removal, restroom cleaning, surface cleaning, floor care, break room cleaning, and common-area maintenance.

What should I ask before switching cleaning companies?
Ask about scope of work, scheduling, supervision, communication, quality control, complaint handling, and how the provider adjusts as facility needs change.
