A facility management checklist can help you evaluate your janitorial service quality, so you’ll put your best foot forward, even in the smallest details.
A Checklist Avoids Missed Spots and Misunderstanding
Let’s face it: A clean facility is a professional one. Most of us don’t notice how clean a space is — until it’s not. Fingerprint smudges on the front glass door, an overflowing wastebasket in the break room and streamers of toilet paper on the restroom floor might not seem like much, but they leave people with the impression your place is sloppy — which can make them wonder if your business is, too.
A facility management checklist offers clear communication about what you expect from your janitorial service. While some items on the checklist might seem obvious, such as emptying wastebaskets, a checklist provides a way to track vendor performance, so you know when a cleaning company isn’t cutting it. Make sure the list has sections for daily cleaning duties, weekly cleaning duties and perhaps supplies to reorder. For example:
- Restroom care (cleaning and sanitizing all fixtures and surrounding areas, emptying wastebaskets and changing liners as needed, sweeping, wet-mopping floors, cleaning mirrors)
- Emptying all interior and exterior wastebaskets and cigarette containers
- Cleaning and sanitizing drinking fountains
- Vacuuming all high-traffic areas
Depending on your business, you might also want to include:
- Wiping down seats in a waiting area or break room
- Cleaning and disinfecting tabletops, a sink area, countertops, small appliances and vending machines in a break room
- Cleaning all windows and glass doors, including those around a conference room
- Wiping down handrails along a mezzanine or in the stairwell
- Cleaning the conference room table and emptying trash
Typical Weekly Cleaning Duties
In addition to the daily duties, a facility management checklist should have a tally of weekly musts, including:
- Vacuuming all carpets
- Spot-cleaning carpets as needed
- Dusting all desks, office furniture and countertops
- Emptying an employee refrigerator of perishables
- Emptying all recycling containers into recycling bins
- Mopping and cleaning the elevator interior
- Changing burned-out light bulbs
Additional items to point out week to week might include:
- Dusting hard-to-reach nooks and domed lighting fixtures
- Examining air filters to determine if they need replacing
- Watering hardy indoor plants
- Dusting air vents and examining for mold (A separate company might be responsible for HVAC maintenance, but your cleaning company can notice a potential problem.)
